Groups Guide

Overview

The Groups feature allows administrators to organize users into logical groups for better management and role assignment. Groups can be created with specific role templates and user assignments, making it easier to manage permissions and access control across your organization.

Accessing Groups Management

  1. Navigate to Settings from your dashboard
  2. Click on the GROUPS tab in the settings navigation
  3. You'll see the Groups management interface with options to create and manage groups

Creating a New Group

Step 1: Group Details Setup

  1. Click the CREATE GROUP button in the top-right corner
  2. Fill in the Group Details section:
    • Group Name: Enter a descriptive name for your group (e.g., "Admission Team")
    • Description: Provide a detailed description of the group's purpose (e.g., "Admission Team members")

Step 2: Assign Role Templates

In the Assigned Role Templates section:

  1. Search for Roles: Use the search box to filter available role templates
  2. Select Role Templates: Choose from available options:
    • Admin: Basic administrative permissions
    • SuperAdmin: Enhanced administrative capabilities
    • Admin Permissions(All): Complete administrative access
  3. View Modules: Each role template shows associated modules and permissions
  4. Click NEXT to proceed to user assignment

Step 3: Assign Users to Group

  1. Review Selected Users: The interface shows "Selected Users (2)" indicating current selections
  2. Search and Filter Users:
    • Use the Select Users dropdown to filter by criteria
    • Enter search terms in the search box to find specific users
    • Filter by "All" or specific categories
  3. User Selection Table:
    • Checkbox: Select/deselect users for the group
    • First Name: User's first name
    • Department: User's department information
    • Designation: User's job title or role
    • Official Email: User's work email address
    • Status: Current user status (Active/Inactive)
  4. Pagination: Navigate through multiple pages of users if needed
  5. Remove Users: Click the "X" next to a user's name in the "Selected Users" section to remove them
  6. Click FINISH to complete group creation

Managing Existing Groups

The Groups List displays all created groups with the following information:

  • Group Name: Name of the group with sorting capability
  • Description: Brief description of the group's purpose
  • Created At: Timestamp of group creation
  • Updated At: Last modification timestamp
  • Created By: User who created the group
  • Action: Available actions for each group

Group Actions

For each group, you can perform the following actions through the Action menu (⋮):

Edit Group

  1. Click the three-dot menu (⋮) next to the group
  2. Select Edit from the dropdown
  3. Modify group details, role templates, or user assignments
  4. Follow the same steps as group creation to make changes

Delete Group

  1. Click the three-dot menu (⋮) next to the group
  2. Select Delete from the dropdown
  3. Confirmation Prompt: A dialog will appear asking "Are you sure to delete, it cannot be undone"
  4. Confirm the deletion to permanently remove the group

When deleting a group, you will see the confirmation message: "Are you sure to delete, it cannot be undone". This action is permanent and cannot be reversed. Ensure you really want to delete the group before confirming.

  • Rows per page: Customize how many groups to display per page
